Accidental Sharing of Private and Personal Data

For Outlook emails, OneDrive, Teams or SharePoint files, the system will notify you whenever you share private data with someone outside the organization. These warnings and notifications will appear when you share or email files that include any of the following:

  • U.S. Individual Taxpayer Identification Number (ITIN)
  • U.S. Social Security Number (SSN)
  • U.S. Passport Number
  • Credit Card Data

After sending an email you will get a message notification back. The email will still go to the person you sent it to as long as there are less than 10 instances. The notification will look like:

Subject: Notification: <Original Subject>

Your email message conflicts with a policy in your organization. Issues:

  • Message is sent to people outside your organization.
  • Message contains the following sensitive information: Credit Card Number

Message is attached.

If you need to share a file with more than 10 instances, you can:

  • Follow the override prompts and:
    • provide a business justification to override
    • report it as a false positive
  • Contact Dave Levine or Rick Penny for help or a long term exception.
